What to put on an administrator CV

Admin roles exist in every sector: schools, the NHS, councils, solicitors, builders, charities and offices of every size. Because the job is about being organised and accurate, your CV is the first sample of your work an employer sees. Consistent dates, neat spacing and no typos say as much as the words.

After that, name the systems you use and the processes you run, and show what got better because of you.

Whatever the job, the UK CV format applies: your name and contact details, a short profile, experience with the most recent first, then education and skills. No photo, age or date of birth.

  1. A profile with your scope

Who you support (a team, a director, a whole office), the sector you know and one strength, such as keeping complex diaries or tidying up messy systems.

  2. Systems and software

Microsoft 365 with what you can actually do (Excel lookups and pivot tables, Outlook diaries, SharePoint, Teams), finance systems such as Sage, CRMs and any sector systems.

  3. Experience

Diaries and travel, minutes, purchase orders and invoices, data entry, filing, post, events and first-line HR or facilities tasks. Give a sense of scale: how many people, how many invoices a week.

  4. Improvements

A filing system you set up, a process you made faster or a spreadsheet that replaced a paper log. These turn duties into achievements.

  5. Qualifications

A business administration apprenticeship or diploma, Microsoft Office Specialist, and GDPR or minute-taking courses.

Administrator CVs: your questions

What should I put on an admin CV with no experience?

The organisation and IT skills you can prove: running a society or club, volunteering, coursework with spreadsheets, or a part-time job where you handled bookings or cash. A business administration apprenticeship or course is worth listing too.

Should I put my typing speed on my CV?

If you have tested it and it is good, yes, for example "Typing: 60 words per minute". Some admin and data entry jobs ask for a minimum speed.

How do I make admin duties sound like achievements?

Add what changed because of you: a process you made quicker, a system you set up, the number of people whose diaries you manage, or invoices processed each week without errors. Keep it true and specific.
