Administrator cover letter example

Ellie Watson, Operations Administrator · three years supporting a team of field engineers

Dear Mrs Kemp,

Your advert for an Operations Administrator asks for someone who can keep engineers’ diaries, job sheets and invoices moving without anything falling through the gaps. That is a good description of my current role, and I would like to bring it to Arden Building Services.

For the past three years I have been an administrator at a property maintenance company, supporting a team of 14 engineers. I book jobs and send the engineers their schedules each morning, chase completed job sheets and raise around 80 invoices a week in Sage 50. I also answer the main phone line, so I am used to calming a customer who is waiting for a repair.

I like making things work better. When I joined, job sheets were kept on paper and often went missing. I set up a shared spreadsheet that tracks every job from booking to invoice, and we now invoice much sooner after a job is finished. I am confident with Excel, including lookups and pivot tables, and with Outlook calendars, SharePoint and Teams.

I also cover our office manager’s inbox when she is on leave, so I am used to deciding what can wait and what cannot. I enjoy being the person a busy team can rely on. My notice period is one month, and I would welcome the chance to talk about the role.

Yours sincerely,
Ellie Watson

Tips for yours

  • Check every name, date and spelling twice: for an admin job, the letter is a sample of your work.
  • Match the advert’s wording for systems, for example "Sage 50" or "SharePoint", where it is true for you.
  • Lay it out neatly, in the same font as your CV, with even spacing.
  1. Who you support

A team, a manager, a director or a whole office, and the kind of organisation.

  2. Your main tasks, with scale

Diaries, bookings, invoices, data entry or minutes, and roughly how many a day or a week.

  3. Systems

Microsoft 365 at the level you really use it, finance or CRM systems, and any software from your sector.

  4. An improvement

A process you made quicker, a system you set up or a backlog you cleared.

  5. Accuracy and confidentiality

How you check your work and look after personal or financial information under GDPR.

Administrator cover letters: your questions

What should I put in an admin cover letter with no experience?

Examples of being organised and accurate from school, college, volunteering or a part-time job: handling bookings, cash, rotas or records. Mention your IT skills and any business administration course or apprenticeship.

Should I mention my typing speed?

If the advert asks for one, or you have tested yours and it is good, yes, in a short line. Otherwise keep it for your CV.

How formal should an admin cover letter be?

Professional and clear: a named person if you can find one, short paragraphs and "Yours sincerely". Friendly is fine, but keep it tidy, as the letter shows how you would write to clients and colleagues.
