Project manager cover letter example

Sanjay Mistry, IT Project Manager, logistics · six years running technology projects in retail and distribution

Dear Mr Lloyd,

I am applying for the IT Project Manager role at Brightwell Logistics. I have managed technology projects for six years in retail and distribution, most recently moving four warehouses onto a new warehouse management system, and I would like to bring that experience to your network upgrade.

On the warehouse system project I led a team of eleven across IT, operations and the supplier, managing the plan, budget and risks and reporting each month to a steering group. We moved each site over a weekend in a quiet week, with a tested fallback plan, and all four went live on schedule without losing a shift.

Your advert asks for strong stakeholder management. The hardest part of that project was not the technology but winning over shift managers who were worried about pick rates. I set up a working group of team leaders from each site, used their feedback to change the training plan and the scanner screens, and every team was trained before go-live.

I hold PRINCE2 Practitioner and a Scrum Master certificate, and I fit the method to the work: a staged plan for infrastructure, sprints for software changes. I use Jira, MS Project and Smartsheet, and I keep RAID logs and change control simple enough that people actually use them.

Thank you for considering my application. My notice period is one month, and I would welcome the chance to discuss the role.

Yours sincerely,
Sanjay Mistry

Tips for yours

  • Pick one project and tell it well, rather than listing them all.
  • Use accurate figures for budget, team and timescale, and only the ones you are free to share.
  • Match the advert’s words: "programme", "change", "delivery" and "implementation" mean slightly different things in different organisations.
  1. Your biggest relevant project

What it was, who it was for, the budget or team size and the outcome.

  2. How you run projects

Your methods (Agile, waterfall or hybrid), your governance and the tools you use.

  3. Stakeholders

One example of bringing people with you, such as users, suppliers or senior leaders.

  4. Risks and problems

A risk you spotted early, or a project you brought back on track.

  5. Certifications

PRINCE2, APM, PMP or Agile certificates, with the level.

Project manager cover letters: your questions

How do I write a project coordinator cover letter?

Lead with the projects you support and what you do for them: plans, RAID logs, reports, meeting packs and supplier follow-up. Name the tools you use and any qualification you are working towards, such as PRINCE2 Foundation or the APM PFQ.

Should I mention PRINCE2 or Agile in my cover letter?

Yes, briefly, if the advert asks for it or you hold it. Show how you use the method on real projects rather than only naming it.

How do I move into project management from another job?

Show the projects you have already run in your current role, even small ones: what you planned, who you coordinated and what was delivered. A foundation-level qualification can help show you are serious about the move.
